Content-related communication during a translation project.

MemoQ contains a ‘comments’ function (indicated by the text bubble at the end of a segment) to make the communication within a text possible. Translators and revisors are asked to use this internal function in order to discuss linguistic issues with each others. Throughout the process, the comments left in memo are not read by the project manager and are not shared with the client.

Voor For matters that need to be submitted to the client, translators should contact the project manager per email. The translator and the revisor are free to choose which subjects have priority and must be discussed prior to the finalization of the task, but examples of important matters are:

  • mistakes in the source text;
  • inconsistency in the source text;
  • unknown technical terms;
  • uncertainty about how a recurrent source term should be translated (in case of long texts it is especially useful to indicate this in good time);
  • requesting images, video materials or other media which are necessary to provide context to the translated text.

Matters that have no priority, and which therefore can be left as comments in memoQ to be addressed by the revisor, include:

  • use of (preferred)terminology;
  • different translation options; “terms that can be translated this way or the other”.

Please note: These are suggestions. Per project, client and text we assume that you as a language professional can assess whether it is useful to contact the client with queries.

It is the revisor’s ultimate responsibility to deliver the final copy (ready to be delivered to the client), unless it is otherwise agreed with the project manager. Should more issues arise during or at the end of the revision task, which must be discussed with the client, the revisor is advised to notify the project manager via email (and not in memoQ). Where it is appropriate, the freelance revisors’ questions are first presented to the in-house translators since they often have client-specific knowledge which could be helpful in this regard.

Use of DeepL/machine translation in projects.

Under the ‘STANDARD’ package, Tekom offers translations using machine translation and post-editing. We offer this translation method only when a client specifically requests this. When the client does not request it, they expect that we deliver translations that are performed by a human translator and revised by a second reader. This is also a requirement of our ISO certification. The project manager will inform the translator, when she/he receives a translation where post-editing work needs to be done. We expressly don’t want translators to use the machine translation as a base or to use DeepL or another engine as a support without getting the permission from Tekom or its client.

Comment format:

Bij hWhen raising questions to the project manager in which specific sentences out of the text will be mentioned, the translator/revisor is asked to quote the sentence in the email and not to refer to segment numbers since clients don’t have access to memoQ and don’t know which sentences are referred to.

Searching for comments in memoQ

For both translators and revisors it is possible to filter segments by comments in memoQ. In this way, you can see at a glance which segments have comments.

Click as indicated below on the green filter button in the translation screen, go to the ‘status’ tab and check ‘commented / discussed’.

Completion of a translation project

After completing a translation or revision and all segments in memoQ have a green check-mark (or in the case of using other software, your translation is saved) we ask you to run a final spell check. This is possible in memoQ. Under the ‘translation’ tab you can find the button to start the spelling checker. This will highlight all spelling mistakes throughout the document and ask you to ‘correct’ or ‘skip’ the term. After running the spell check, you can deliver the document.

Online portal

The projects you have carried out for us will be found after the delivery in an online portal to be verified and to be downloaded for your invoice as an attachment.

In this way, you decide when to send us your invoice. You will then receive the payment within 14 days.

Please note: The moment that you select a project and download it to issue an invoice, the project will receive the ‘paid’ status. We accept only invoices with an attachment, sent to facturen@tekom.nl

It is possible that projects that you have delivered are not yet on your list. In this case, the project is probably listed under a collective invoice. We send our client a monthly invoice only at the end of the month, and at that time the projects are allocated the right status so that they become visible in the overview. When you really miss a project, or something is listed incorrectly, then send us a message.

When you don’t receive a PO or the details are incorrect then something can go wrong. Therefore always check whether the PO was received and whether the information corresponds to the project.
